Frequently Asked Questions

Getting Started

What can I expect at my first session?

For your first session, please bring your insurance card and driver’s license so our front office staff can add them to your file. Your clinician will then introduce themselves and invite you into their office, where they’ll spend time getting to know you — discussing areas such as family history, work life, relationships, and your goals for therapy. Additional assessments may be provided as needed to better understand your needs and begin developing your treatment plan.

How do I access the client portal?

You can access your secure client portal by visiting: https://www.therapyportal.com/p/SeedofHope49024/login/ . Through the portal, you can complete intake forms, send secure messages, make payments, and manage upcoming appointments.

Can I request a specific therapist?

Yes. You’re welcome to request a specific clinician; however, availability may vary depending on their current caseload. If your preferred therapist isn’t accepting new clients, you may begin with another available clinician and request to transfer later when a spot becomes available.

Do you offer Telehealth?

Yes — Telehealth sessions are available in specific circumstances. We strongly encourage in-person sessions whenever possible to support the therapeutic process, but telehealth may be used when necessary. Clients participating in telehealth will be asked to provide their current location during each session for safety purposes and must first complete at least three in-person sessions to establish a treatment plan.

Insurance and Payment

What questions should I ask my insurance provider BEFORE my first session?

  • What is my mental health deductible?
  • Have I met my mental health deductible? If not, what is the remaining balance?
  • Is A Seed of Hope Family Counseling Center considered in-network with my plan?
  • Will I owe a copay at the time of each visit?
  • How many mental health sessions are covered per year?

What plans are accepted at ASOH?

We currently accept the following insurance plans:

  • Blue Cross Blue Shield (BCBS) – Commercial plans only
  • UnitedHealthcare (UHC) – Commercial and Medicaid plans
  • Priority Health (PHC) – Commercial and Medicaid plans
  • Aetna – Commercial plans only
  • Blue Care Network (BCN) – Commercial plans only
  • Meritain - Commercial plans only

We’re always working to expand our network. If you don’t see your plan listed, feel free to contact us — we may still be able to work with your coverage or offer self-pay options.

What if I don't have insurance?

  • We offer private-pay options for clients without insurance. Sessions may be paid using Visa, Mastercard, or debit cards.
  • A sliding scale (income-based) rate may also be available with prior approval from our billing department and management.

Do you provide documentation for Emotional Support Animals (ESAs)?

Yes. ESA documentation is available; however, it is not covered by insurance. To qualify, clients must first establish a treatment plan that includes the use of an ESA. This typically requires a minimum of three therapy sessions before documentation can be written. The ESA letter fee is $200.

Appointments and Policies

What is your cancellation policy?

We require at least 48 hours’ notice to cancel or reschedule an appointment. Late cancellations or missed sessions will result in an $80 fee, which is not billable to insurance. Exceptions may be made for emergencies at the discretion of your clinician.

What do I need to have completed prior to each session?

Before your first session, you’ll receive a set of intake documents and assessments through your TherapyPortal account. These forms are required to begin services and must be completed in full. Please submit all completed documents directly through TherapyPortal. If you have any questions or need assistance, feel free to reach out — we’re happy to help. You may also receive authorization forms (like releases of information) to sign and submit through TherapyPortal.

How do I reschedule or cancel my appointment?

Appointments can be rescheduled or canceled through your secure TherapyPortal account or by calling our office directly at (269) 743-7357 during business hours.

Services and Programs

Do you offer therapy for children and teens?

Yes. Our clinicians provide therapy for children, adolescents, and adults. Each treatment plan is personalized to the client’s age, developmental stage, and goals for therapy.

What if my therapist is an intern?

If you’re matched with an intern therapist, you can expect the same high standard of professional and compassionate care as with our licensed clinicians. Our graduate-level interns are completing their Master of Social Work (MSW) training through accredited programs such as Western Michigan University and Spring Arbor University. They receive direct supervision from a fully licensed LMSW and collaborate closely with our Clinical Director to ensure the highest quality of care. Sessions with interns may also be available at a discounted rate.

Do you offer workshops or group therapy?

Yes! We currently offer several therapeutic and skill-building groups:

  • Stop the Chaos (Tuesdays) – Focused on organization and time management.
  • Life Choices for Teen Girls (Wednesdays) – Supports healthy decision-making and self-awareness.
  • DBT Skills Training Group (Thursdays) – Focused on emotional regulation, mindfulness, and interpersonal effectiveness.

Visit our Workshops page for upcoming start dates and enrollment information.

How much do the teen workshops cost?

Please contact our office for current workshop pricing. We offer flexible payment arrangements to help make participation accessible for your teen.
